The Executive Director carries out the policy decisions and strategic plans of the Board of Directors. Primary responsibilities include Fundraising, Community Outreach, Strategic Planning, with other responsibilities including Finance and Operations, support for Development, Communications, and Human Resources.  

Fundraising

• In partnership with the Board of Directors and staff, develop and execute a strategic plan to secure financial support from individuals, foundations, and corporations and to cultivate, steward and retain donors

• Write or oversee drafting of foundation grants with the Development Manager

• Meet with major donors, and cultivate donors through written correspondence, in-person meetings and consistent follow up

• Work with Capital Campaign Committee to secure remaining funds (process is nearly complete)

• Oversee the implementation of special events in coordination with event committees

Community Outreach

• Identify and plan new community services that Clinic by the Bay might provide to fulfill healthcare needs

• Build and maintain strong community partnerships with other non-profits, hospital systems, and private practices to secure additional healthcare access points and services and to bring in additional patients

• Promote awareness of Clinic by the Bay to enhance community involvement and engagement through a variety of outreach activities and efforts, including public relations and media opportunities, with consistent follow up

• Develop and maintain effective working relationships and collaborative partnerships with community groups, funders, businesses, companies, and other key stakeholders

Strategic Planning

• Work with the Board of Directors to plan and implement a strategic planning process that best enables Clinic by the Bay to advance its mission. Strategic plan to include measurable goals, approved priorities and reflects n internal and external environments change.

Financial and Operations

Budgetary

• Create annual budget to be reviewed by the Finance Committee and adopted by the Board of Directors

• Provide monthly finance reports to the Board of Directors

• Ensure bookkeeping staff and accountant provide accurate and timely information for internal reports as well as audit and taxes

Operational

• Provide on-site management of day-to-day staffing

• Manage and monitor staff recruitment and retention

• Develop methods to expand operational hours and services

The Development Manager is primarily responsible for, fundraising, and fiscal activities for our privately-funded clinic including: donor database management, communications support, social media and website support, foundation grant management, and fundraising events. As the role expands, additional responsibilities may include administrative and logistical support for donor relations and Board of Directors communications. The Development Manager reports to and supports the Executive Director in donor cultivation and retention activities.

This is a part-time, non-exempt position starting at 20 hours per week, with potential to turn into a full-time exempt position based on job performance and revenue generation. This role has a lot of variety day to day, and can be flexible with in-person and/or remote hours, which may also include evenings and weekends when supporting fundraising events. Competitive salary based upon experience, paid holidays and generous PTO. Full medical, dental, vision, and 403b are available if and when this turns into a full-time position.

DUTIES AND RESPONSIBILITIES

• Maintain relevant fundraising tracking systems for scheduling, analysis and reporting purposes.

• Ensure accurate and timely entry of all gifts, pledges and contacts.

• Ensure accurate lists for communications, acknowledgement, analysis and planning.

• Provide administrative and logistical support to Executive Director with respect to donor relations activities including: donor cultivation, donor acknowledgement, annual report, and end of year appeal.

• Participate in planning, promotion and execution of fundraising events.

• Develop and coordinate grant applications and reports to foundations and corporations.

• Complete monthly reconciliations

• Contribute to a positive and motivating work environment for volunteers and staff.

• Other administrative support duties as assigned

QUALIFICATIONS AND EXPERIENCE

• 3 - 5 years development/fundraising in a non-profit environment or equivalent skills

• Highly organized and detail-oriented; ability to manage multiple priorities and tasks efficiently and professionally.

• Highly developed interpersonal skills and ability to work effectively with paid staff and volunteers.

• Genuine passion in caring for the underserved and inspiring civic engagement.

• Commitment to the mission and values of Clinic by the Bay and Volunteers in Medicine.

• Excellent communication skills (written and verbal).

• Proficiency in Microsoft Office (Word, Excel) and Google Workplace applications.

• Demonstrated ability to maintain confidentiality of privileged information at all times.

• Experience with donor database and/or customer relations and/or website management systems (e.g. Bloomerang, Network for Good, Squarespace) is highly desirable.

• Speaking Spanish is a plus.

Clinic by the Bay is looking for a Dental Assistant/Patient Coordinator who will collaborate with our dental director and volunteer dental team in providing high-quality dental care and assist in supporting medical patients with accessing and following up with referrals in the community. The candidate must demonstrate effective communication and interpersonal skills, with fluency in both English and Spanish. In addition, the ability to stay organized and efficient is essential, as this position involves regular multi-tasking and continuous follow-up with patients, providers, referrals, and outside agencies.

Duties &Responsibilities:

The Registered Dental Assistant will assist the dentist in the provision of high-quality care with the scope of service consistent with accepted standards of care for dental assistants. Approximately 75% of the 20 hour week will be dedicated to dental patient care and 25% will be dedicated to administration tasks of coordinating dental and medical referrals.

Dental Assisting responsibilities:

● Acts as a liaison with volunteer dentists, hygienist, and assistants, especially related to clinical operations

● Prepares and maintains dental instruments, supplies and equipment; prepares the operatory for the patient visit

● Seats patient in chair and explains procedures to be performed; Collects and records patient health histories

● Sets up instrument tray containing instruments, suction, gauze and other required supplies. Prepares dental materials for prophylaxis, SRP, composite, amalgam, extraction procedures. Manages the patient during dental procedures and assists in the prevention and management of dental emergencies. Provides active chairside assistance; transfers instruments as appropriate for four-handed dentistry; anticipates the dentist’s needs

● Takes and prepares radiographs using digital intraoral sensors (Dexis Sensors) and following proper radiation safety precautions

● Assists with taking intraoral photos with intraoral camera

● Assists with dental charting and note taking in Curve Dental Software

● At the conclusion of the procedure, assists patient, clears work site of instruments and other materials; follows proper infection control protocols and prepares the operatory for the next patient

● Performs, monitors and records all sterilization activities. Maintains proper aseptic techniques necessary with dental equipment; maintains and properly sterilizes instruments; help to manage the dental office infection control plan to meet OSHA, CDC and ADA standards

● Routinely cleans, disinfects and restocks operatories

● Maintain and inventory dental supplies and works with Dental Director to reorder as necessary; track and verify invoices.

● Performs miscellaneous duties within Clinic by the Bay as assigned

Patient Coordinator Responsibilities:

● Provide Case Management services and Referral services for clinic patients based on our established clinic protocols.

● Provide administrative and logistical support for the clinic with Spanish interpretation, and reception coverage.

● Responsible for the maintenance and upkeep of scanning patient documents.

● Review and process requests for the release of all medical records under the supervision of clinic management.

● Other administrative and clinical support duties as assigned by clinic management.

Qualifications:

● Bilingual in Spanish and English

● 1 - 2 years work experience or equivalent skills.

● Self-motivated and flexible

This is a part-time, non-exempt position. Working hours may include evenings

and weekends as program evolves but initially will be Tues (11:30am-4pm), Wednesday 9:30am-6:00pm), Thursday (9:30am-6:00pm)

We are looking for a seasoned and dedicated Primary Care Physician. This salaried position is for 24 hours per week, offering a competitive salary based on experience, along with a comprehensive benefits package. DUTIES AND RESPONSIBILITIES:

•  Guide the overall concept and direction of clinic programs in collaboration with the Executive Director, Clinic Manager, and team members.

•  Work closely with Executive Director, Clinic Manager, and Medical Advisory

• Board members to develop and implement clinic services and protocols, secure medical partnerships, and equipment.

•  Provide clinical leadership, supervision, and oversight for volunteer medical providers (physicians, NP’s, and PA’s) to ensure quality assurance and the highest standards of care.

•  Ensure that all medical staff and volunteers are properly screened, credentialed, oriented, and supervised. The Medical Director reports credentialing issues to the Medical Advisory Board and Board of Directors as appropriate.

•  Serve as lead contact with medical specialists and specialty services. 

•  Serve as spokesperson for Clinic by the Bay on all medical matters. Conduct presentations, host tours and attend community functions with the Executive Director and Board members as needed.

•  Authorize and facilitate referrals for major imaging studies, patient referrals for specialty evaluation and review ordered lab tests and imaging.

•  Convene and co-lead the Medical Advisory Board which provides scope of service and quality of care recommendations.

•  Ensure that all state, federal, local, OSHA, CLIA, and other regulatory guidelines are adhered to, and that staff is trained in all proper procedures.

•  Promote, establish, and maintain open and effective communication with all team members to improve relations, solve problems and access resources. 

•  Provide clinical duties of direct patient care, when appropriate.

QUALIFICATIONS:

•  MD Degree – Minimum 5 years clinical experience and completion of residency training in one of the following: family practice, internal medicine, or emergency medicine.

•  Proven leadership experience in clinical settings.

•  Genuine passion in caring for the underserved; commitment to the mission and values of the National Association of Free and Charitable Clinics and Clinic by the Bay.

•  Highly developed interpersonal skills and ability to effectively collaborate with paid staff and volunteers.
